The following are the nine steps that we take with you to ensure that
your OfficeLink+ Superhighway meets your business requirements, meets
your budget and meets your stated timeframes.
1. Qualification
When any two organisations first meet it is important
to establish that there is a mutual benefit that
can be attained from working together. This
is especially true when the organisations will be
working together for many years to come.
It goes without saying, you will require telecommunication
solutions that you can rely on for years to come. From
our perspective we know we will be working together
to design, implement and manage a solution tailored
for you. So that synergy is vital right from this
first stage of the relationship. In a nutshell, being
right for each other is as important to us as it
is to you. Simply put, the qualification process
is all about both of organisations agreeing that
we would like to work together … if an appropriate
solution can be provided at the right price and in
the required timeframes.
2. Interview
Once
we have both agreed that an OfficeLink+ Superhighway
might be an appropriate solution for your organisation,
we confirm this before we progress the project in
any formal sense. To this end we meet with
you for 30 – 60 minutes to gain a detailed
understanding of your business requirements, project
timelines and budget constraints. During this
interview we get to understand what you are trying
to achieve, why and by when.
At the end of our initial fact finding, we provide
you with a preliminary assessment. If
we believe that we can provide a solution that meets
all your stated requirements, within your budget
and on-time, then we confirm this (with any caveats
that we may be able to anticipate upfront clearly
articulated). And if we believe can’t
meet your requirements then we will also tell you
that and explain why, and where we can, point you
in the right direction.
3. Commitment
At
this point we both have a much better understanding
of each other’s organisation and a good indication
of what is required and what can be provided. If
we move forward together to prepare a detailed proposal,
then significant time and resources will need to
be allocated by both organisations. Because
of this we expect both organisations to make the
following formal (but not binding) commitment to
each:
If a proposed
OfficeLink+ solution can be shown to meet the
stated requirements and is within the agreed
budget then both organisations agree their intent
to formalise the agreement and move forward in
the specified timeframe.
4. Proposal
Once
an informal commitment has been given, then both
parties move forward together so that OfficeLink+
can generate a formal and detailed proposal. Such
a proposal usually provides:
- Details of your current environment;
- The stated business requirements that are to
be achieved;
- A high-level security analysis;
- A full description and specification of the proposed
superhighway solution;
- A detailed and customised diagram of the proposed
superhighway solution;
- Optional or additional services that might add
value in the future; and
- A detailed costing for all aspects of the solution.
5. Presentation
Once
an agreed solution has been designed and costed,
we will work hard to meet the stated requirements
within the agreed budget. If our analysis shows
that this can not be achieved, then the entire project
is reviewed and adapted to meet the parameters.
OfficeLink+ then presents the final proposal to the
key stakeholders of your organisation. Such
a presentation usually raises some clarifications
and requires minor variations. These are usually
minor and can easily be accommodated.
6. Agreement
Assuming
that the proposal is accepted, and final variations
have been incorporated, a formal agreement is drafted. This agreement includes each service
being provided, the cost, the commencement date and
the service period. The agreement also includes
the standard OfficeLink+ terms and conditions, optional
SLAs and any special conditions agreed to by both
parties.
7. Implementation
Once
the agreement is signed, OfficeLink+ will manage
implementation from beginning to end, in accordance
with the signed agreement and with the minimum disruption
to your organisation.
8. Management
Because
an OfficeLink+ Superhighway is a fully managed solution,
the most important part of our job starts after the
services have been implemented. It is at this
point where we work with you to ensure that you receive
the very best service, reliability and support for
your new telecommunications investment.
9. Review
During all the
steps to identify, design, implement and manage your
new private superhighway, the OfficeLink+ team will
have been working together and with you. Our
sales team, technical consultants, operations area
and account managers will have been fully immersed
in your organisation’s purpose, strengths,
telecommunications environment and future direction.
As one of your partners, our team continues to work
with you to identify future technology, to recommend
ongoing quality improvements and to liaise with you
to keep you positioned safely and strategically at
the forefront of the information revolution.
An OfficeLink+
Account Manager is assigned to you before implementation
and will continue to work with you for years to come. Your
manager constantly draws on the business and technical
expertise of the whole OfficeLink+ team to ensure
that your organisation is not only fully supported,
but also empowered. He
or she works with you within an agreed schedule to
review your changing requirements and provides ongoing
suggestions to meet those requirements. And
if you have any questions, then your manager is only
an email or phone call away.
